This role is essential in driving the implementation and governance of our document control systems across all phases of the project.
Key Responsibilities:
As the Project Documentation Lead, your responsibilities will include:
- Designing and rolling out a robust documentation control strategy tailored to the needs of a complex infrastructure project, with a strong focus on confidentiality, traceability, and compliance.
- Creating and overseeing document workflows for submission, review, and approval, ensuring timely processing and stakeholder alignment.
- Defining submission requirements for internal teams and contractors, and coordinating timely and compliant delivery of all documentation packages.
- Building a dynamic reporting dashboard or system to track documentation status, submission progress, and overall compliance.
- Establishing and maintaining a secure data room to support external audits and due diligence processes ahead of the Final Investment Decision (FID).
- Managing the lifecycle of project documentation-creation, revision, storage, retrieval, and archiving-in line with both corporate and regulatory standards.
- Leading the documentation handover process at project closeout, ensuring seamless transfer to the Operations team and adherence to regulatory obligations.
- Developing user-friendly training materials and delivering hands-on guidance to both internal users and external partners on document control systems and procedures.
- Continuously reviewing document control processes to identify inefficiencies or gaps and recommending actionable improvements.
- Supporting work package leads to ensure all vendors and suppliers adhere to established documentation procedures and quality expectations.
Candidate Profile:
To be successful in this role, you should bring:
- A degree or equivalent background in project administration, documentation, or a related discipline.
- Strong command of both English and Korean in written and spoken communication.
- Competence with the Microsoft Office suite, particularly Excel, Word, PowerPoint, and collaborative platforms like SharePoint.
- Previous exposure to large-scale energy or infrastructure projects-preferably in offshore wind, energy, or oil & gas sectors.
- Keen attention to detail, a structured approach to tasks, and the ability to multitask in a deadline-driven environment.
- Solid understanding of metadata, version control, and database management principles.
- Strong interpersonal and coordination skills, with the ability to work across teams and manage stakeholder expectations.
