The Role
In this role, you will get to work closely and provide comprehensive support to our CEO, ensuring that the business constantly drives forward with the speed and scale for exponential growth.
You will work across multiple functions within the business supporting the Executive, and must be experienced, highly organized, proactive, detail-oriented, and capable of managing a wide range of administrative and executive support tasks with efficiency and discretion.
Responsibilities
Manage and maintain the CEO's calendar, scheduling meetings, appointments, and travel arrangements as needed
Coordinate and prioritize incoming requests and communications, ensuring timely responses and appropriate follow-up actions
Prepare and edit correspondence, presentations, reports, and other documents as required
Conduct research and compile data to support the CEO in decision-making processes
Take accurate and detailed minutes during meetings, capturing key discussion points, action items, and decisions
Distribute meeting minutes to attendees and follow up on action items to ensure timely completion
Act as a liaison between the CEO and internal/external stakeholders, including clients, partners, and team members
Assist with special projects and initiatives, including event planning, internal communications, and business development activities
Handle sensitive and confidential information with discretion and professionalism
Anticipate the needs of the CEO and proactively address issues to optimize their productivity and effectiveness
Develop clear, concise, and persuasive written content for executive search proposals.
Create visually appealing proposal documents using appropriate branding and design elements.
Coordinate with internal stakeholders to gather necessary information and insights for proposals.
Ensure proposals are delivered on time and meet quality standards.
Your Profile
Proven experience as an executive assistant or similar role supporting C-level executives
Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment
Strong written and verbal communication skills, with meticulous attention to detail
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Google Workspace and other relevant software applications
Ability to maintain confidentiality and exercise sound judgment in all interactions
Flexibility and adaptability to changing priorities and deadlines
Positive attitude, professional demeanor, and ability to work well both independently and as part of a team. A great team player with a great “work hard play hard” mentality. Someone who gets along with a diverse group of individuals across the business.
