About the role

You will be involved in preparation, analysis and processing for tenders. Tracking and reporting of project status and performance budget and schedule and negotiating terms and conditions of the contracts with contracts.

Responsibilities

Contract Management

  • Call for Tenders/Quotation: Preparation, analysis and processing of call for tenders, response to tenders and ensure that the relevant tendering laws, regulations and practices are fulfilled

  • Screening and Identification Vendors: Screening and identifying the most qualified and competitive suppliers, subcontractors / EPC Contractor.

  • Contract Negotiation: Negotiate terms and conditions of the contracts in order to optimize pricing and obtain bankable contracts. Work with legal department to draft and negotiate relevant contracts

  • Project Planning: Tracking and reporting of the project status and performance against budget and schedule

  • Claim Management: Ensure fulfilment of all subcontractors' and suppliers' contractual obligations

  • Contracts (including formal, short form, and annual contracts) - drafting, evaluation, negotiation and execution, provide guidance on contract matters to Project managers or other operational staff.

  • Monitor performances of vendor and act according to contract sign between vendor and the company.

Procurement, Warehouse & Logistics Management

  • Work collaboratively with the management and design team to coordinate supplier selection, credit and terms, track supplier performance standards, and conduct ongoing evaluation.

  • Planning and implementing overall procurement prospects, managing procurement schedules and oversees the procurement department activities.

  • Lead sourcing on commodities by managing price negotiation, supplier selection and evaluation to deliver quality standards and on time delivery.

  • Conduct research via the Internet, catalogues, trade publications, and trade shows to identify potential suppliers.

  • Interview prospective suppliers either face-to-face or over the phone to determine prices, discounts, terms, etc.

  • Create spreadsheets with vendor & product or service comparisons of prospective suppliers to support management decisions.

  • Build and maintain mutually beneficial relationship with suppliers, sourcing contractor and consultant. Serve as the point of contract for customers on contractual matters.

  • Ensure compliance with company policies, standards and guiding principle. Provide recommendations and often negotiate directly with customer or purchasing staff until consensus has been reached.

  • Prepare, maintain and review purchasing files and records, price lists, the status of requisitions, contracts and orders, locate suppliers, approve bills for payment, monitor subcontractor performance, calculate the cost of orders, ensure invoices are charged to the appropriate accounts, and monitor inventory transfer forms for bookkeeping records.

  • Work closely with suppliers on long term cost reduction programs, pricing, payment term, expedite and ensure smooth supply of materials to meet production requirements.

  • Building vendor data base and system, involve in RFP / tender / RFQ process

  • Prepare, maintain and review purchasing files and records, price lists, the status of requisitions, contracts and orders, locate suppliers, approve bills for payment, monitor subcontractor performance, calculate the cost of orders, ensure invoices are charged to the appropriate accounts, and monitor inventory transfer forms for bookkeeping records.

  • Develop plans for the effective organization and temporary storage of project materials and general inventories at various company and/or independent warehouse locations.

  • Ensure maintenance of accurate records for all stored materials, and the safe, secure and orderly upkeep of company warehouses.

  • To perform any other duties assigned by immediate superior from time to time.

  • Required to deal with suppliers of SE Asia market.

Requirements

  • Candidate must possess at least Bachelor's Degree in any field, preferably procurement and logistic, construction or equivalent.

  • Required language (s) to converse, read and written: English, Bahasa Malaysia and Mandarin. Mandarin speaker is preferably to deal with China office/ supplier.

  • At least 5 years of working experience in the related filed is required in this position.

  • Possesses at least 2 years of leadership experience and capabilities.

  • Able to work autonomously in a demanding environment (meaning hands-on problem-solving skills are needed when necessary).

  • Able to interact with all levels of the organization including senior management.

  • Relationship builder, strong communication and interpersonal skills, able to work internally and externally in an effective and efficient way.

  • Applicants must be willing to work in Johor Bahru (Eco Business Park) and able to travel within Malaysia
